PDFs can often feel a little like a necessary evil. The format has become more and more prevalent, but there are a whole host of apps that can read them, edit them, sign them and more - and almost all of them feel like a nuisance to use.
Thankfully, there’s one that has made a big difference to my day-to-day workflows - OnlyOffice PDF Editor. Not only has it helped me tame a litany of PDFs contracts in my inbox, but it’s also free to use.
One PDF Editor to rule them all
Many users will be lucky enough to never need a PDF Editor, depending on their workflows, but for those that do, few make a better first impression than OnlyOffice’s offering.
That’s because it’s impressively laid out with a robust editing suite that includes the option to drop just about anything into a PDF. When you're done, you can switch to a commenting mode to admire your creation.
It’s not just building forms and the like, either. OnlyOffice PDF Editor also has the ability to annotate what’s already on a PDF, and that’s been mana from heaven as someone who spends longer than I’d like signing embargo documents and freelancer agreements.
These are regularly changing, and having the option to move sections of a PDF around, and reword my own contracts, is a big deal for someone who needs to get to work beyond just editing files.
There are plugins for a variety of third-party apps, too, meaning you can share things straight into ChatGPT, a Language Tool to find and correct mistakes, or send via Telegram.
Version 8.2 has added realtime PDF collaboration, too, meaning you can work your way through a document with a colleague, leaving comments or even using a plugin to video call when you need extra clarification on something.
An app ecosystem
While OnlyOffice’s PDF Editor is ideal for just about any use case, teams might want to consider checking out DocSpace. DocSpace is OnlyOffice's collaborative document management platform and plays nicely with the likes of Zoom, Drupal, WordPress, and more apps via Zapier.
This ecosystem brings together your documents, spreadsheets, PDFs, presentations, and images into an easy-to-navigate setup, tying them together with meeting options and collaboration tools.
AI is integrated, too, through ChatGPT should you need it, while there are plugins for Dropbox, Google, Zoom and more. The Zoom plugin even lets you collaborate within a Zoom call.
